Arise Renewed Counseling is a small, growing private practice seeking a highly motivated and detail-oriented Office Assistant. This is an incredible opportunity to learn the operational side of a clinical business, with direct mentorship and a clear path to an Office Manager role.
What You Will Learn & Do (Responsibilities)
This position provides training in the essential functions of mental health private practice operations.
1. Front Office & Client Experience (80% of Role)
Client Management: Serve as the first point of contact; professionally greet clients, manage check-in/check-out, and maintain a calm, welcoming office atmosphere.
Scheduling & Coordination: Manage the calendars and scheduling for multiple therapists, handle client inquiries, and confirm appointments.
EHR Management: Assist with data entry, file organization, and maintaining the accuracy of client information in our Electronic Health Record (EHR).
Confidentiality (HIPAA): Learn and strictly adhere to all federal HIPAA regulations for protected health information.
2. Practice Operations & Billing Fundamentals (20% of Role)
Billing Support: Receive training on insurance verification procedures (checking client benefits) and assisting with claims submission processes.
Payment Processing: Process client payments (copays, fees) and manage basic accounts receivable tracking.
Office Support: Assist the Practice Owner/Office Manager with various projects, supply ordering, and maintaining office systems.
Qualifications We Seek
Aptitude: Eagerness to learn the administrative and financial functions of a mental health practice (we will train the right candidate!).
Technical Skills: Proficient with computers (Google Workspace) and a quick learner for new software (EHRs).
Soft Skills: Impeccable attention to detail, strong work ethic, and excellent communication skills.
